Role description
About the Company The Assets Coordinator is responsible for the organization, maintenance, and distribution of all creative and sales assets across Roman and Williams’ brand portfolio. Acting as both archivist and systems gatekeeper, this person ensures that product, campaign, and environmental photography—as well as printed materials—are properly stored, tagged, tracked, and distributed for internal and external use. This role is critical to maintaining the visual and operational integrity of the brand across all touchpoints, supporting marketing, sales, press, and store teams with both digital and printed assets. About the Role The Assets Coordinator is responsible for the organization, maintenance, and distribution of all creative and sales assets across Roman and Williams’ brand portfolio. Responsibilities: Asset Archiving & File Management • Own and maintain the digital archive of all creative assets (photoshoots, product, event, and marketing imagery). • Tag, rename, and file assets according to established naming conventions and metadata standards. • Enforce Dropbox hygiene and structure to ensure all assets are organized, current, and easily accessible. • Act as point person for all brand asset requests from internal teams and external partners. Creative Asset Distribution • Respond to image requests from press, sales, creative partners, and internal stakeholders. • Support external creative partners by pulling and directing them to appropriate imagery for use in creative assets. • Prepare and share file packages and selects in coordination with the VP of Merchandising & Marketing. • Ensure final selects are prepped and shared for campaign launches and press moments. Website & E-commerce Support • Upload and manage product imagery in Shopify and ensure it aligns with brand guidelines. • Support buildout of new product pages with correct imagery, sequencing, and alt text where needed. • Monitor product listings to ensure all PDPs feature updated and approved assets. Shoot Coordination Support • Intake and organize post-shoot assets and ensure proper file naming. • Maintain master file logs for shoot outputs and support team requests for image selection and circulation. • Liaise with photographers, retouchers, and agents to ensure asset delivery follows brand protocols. Print Asset Management • Maintain inventory and archival records of printed sales and marketing materials, including tear sheets, catalogs, signage, and artisan cards. • Ensure store signage is printed, stocked, and up to date in coordination with the Visual Merchandising team. • Manage print production timelines and budgets for all printed brand assets. Sales Tool Support • Ensure all sales tools (digital line sheets, decks, tear sheets) are archived, organized, and accessible for the sales team. • Maintain digital folders for current sales tools and flag outdated materials for removal. • Ensure product collateral is synced across marketing and sales to support client outreach and product education. Housekeeping & Systems • Proactively flag duplicate, outdated, or misfiled assets and maintain system hygiene. • Conduct regular audits and backups of creative and sales asset libraries. • Uphold file standards and naming consistency across all vendors, photographers, and departments. Qualifications: • 2-3 years of experience in content/project coordination, marketing support, or operations in a design, retail, or creative-driven environment. • Exceptional organizational and communication skills; proven ability to manage multiple timelines and priorities across departments. • Experience with Dropbox, Microsoft Office (especially Excel), and Shopify. • Attention to detail and a systems mindset, with the ability to structure and maintain file organization. • Comfortable working in a high-paced, high-standard environment with shifting priorities. Preferred Skills: • Background in luxury interiors, fashion, or hospitality. • Familiarity with Shopify, Klaviyo, Adobe Creative Suite. • Experience supporting marketing and sales teams with content organization and web merchandising.
