This role supports the smooth operation of the executive office and the e-commerce store by managing calendars, communications, and project coordination. The assistant ensures the Shopify store is updated accurately and that quality assurance checks maintain a seamless customer experience. The Impact you’ll make Executive Support • Manage executive calendars, schedule meetings, and coordinate logistics. • Monitor inboxes and assist with communications and follow-ups. • Prepare meeting notes, presentations, and internal documentation. Shopify Store Management • Update product pricing, descriptions, and website content including headers and collections. • Conduct regular content audits and implement site-wide copy changes. • Use Shopify’s admin dashboard to create or modify pages and collections. Quality Assurance & Testing • Perform QA checks after product launches, price updates, or site changes. • Test customer journeys such as add-to-cart, checkout, and confirmation emails. • Identify and escalate bugs or UX/UI issues promptly. Coordination with Developers and Agencies • Serve as primary point of contact for developers, designers, and marketing partners. • Track open projects, requests, and deadlines using tools like Asana, Trello, or Notion. • Document and communicate requirements and QA feedback clearly. General Operations • Monitor store performance and flag irregularities. • Assist with pulling performance reports and customer data. • Help document SOPs and improve internal workflows. Skills, Knowledge and Expertise Required: • 2+ years in an executive assistant, e-commerce coordinator, or similar operations role. • Proven familiarity with Shopify or similar CMS/e-commerce platforms. • Experience with quality assurance testing in e-commerce environments. • Basic coding experience (HTML/CSS) to manage site updates. • Strong organizational and communication skills with high attention to detail. • WFH Set-Up: • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up. • Internet speed of at least 40MBPS • Headset with an extended mic that has noise cancellation and a webcam • Back-up computer and internet connection • Quiet, dedicated workspace at home Your Superpowers: • Proficiency in Shopify admin and CMS management. • Ability to perform detailed QA testing and troubleshoot UX/UI issues. • Strong project management and documentation skills. • Effective communicator and collaborator across departments and external agencies. • Comfortable working independently in a fast-paced, remote environment. • Basic coding skills to edit website content and troubleshoot minor issues.
