Role description
Role: Operations Coordinator Location: Portland, Oregon Full Time: Onsite, Monday - Friday, 9AM to 5PM PST
Responsibilities: The operations coordinator role encompasses a wide range of tasks related to the handling, process and management of gemstones within a wholesale supplier office. This includes quality control, shipping logistics between internal offices and to clients, and inventory management to ensure a smooth user experience for in person and online gemstone sales.
Inventory Management:
β Receive and process customer Shopify orders with accuracy and efficiency.
β Receive and process customer returns with accuracy and efficiency.
β Proactively reach out to customers to communicate shipment tracking, potential delays or other unforeseen issues.
β Utilize armored shipment software to create labels, track shipping logs, and ensure timely deliveries.
β Provide excellent customer service and address inquiries and concerns.
β Manage product online store availability, location transfer, order payment status and fulfillment. Customer Service:
β Manage client drafts for stones that are out for review. Provide updates related to their availability or return.
β Utilize a CRM system (HubSpot) to manage clientβs inbound activities (tasks, contact information, purchasing behaviors etc.)
β Possess a thorough understanding or passion for learning about Misfit diamonds and sapphires. Including but not limited to the stoneβs properties, unique characteristics, formation and known-origin.
Skills & Qualifications:
β Proficiency in using or being able to learn quickly CRM software (HubSpot), e-commerce order entry (Shopify), email, chat (Slack) and other relevant technologies.
β Ability to manage multiple tasks and prioritize workload.
β Experience in wholesale operations, particularly in the jewelry or gem industry, is highly valued.
β Excellent customer service skills.
β Strong attention to detail.
β Following and adhering to safety guidelines and procedures.
β While not required, a bachelorβs degree or gemology certification is an asset.
β Strong content creation for social media reels and posts is highly valued!
