Role description
About Rapalogix Health We are a science-backed skincare startup redefining the physician-dispensed category through longevity-based innovation. Our brand is grounded in cutting-edge research on cellular aging and mTOR modulation, with a launch strategy focused on aesthetic practices, dermatologists, and plastic surgeons. As we prepare for our soft launch, we’re seeking a dynamic Inside Sales & Operations Manager to drive our early commercial execution. Position Summary The Inside Sales & Operations Manager will play a foundational role in Rapalogix Health’s commercial execution. This hybrid position blends inside sales, onboarding, customer service, fulfillment, and operational infrastructure-building. The successful candidate will be responsible for activating new accounts, supporting providers through ordering and education, and creating scalable systems that support a growing customer base. This is a highly cross-functional role suited for someone who thrives in fast-paced environments, brings a strong attention to detail, and is eager to grow as the company scales. Candidates with experience in physician-dispensed products, aesthetic medicine, or commercial operations in healthcare are strongly preferred. Key Responsibilities Sales & Account Activation • Serve as the initial point of contact for new accounts and guide them through onboarding, training, and purchasing. • Qualify and convert inbound leads from marketing, events, and referrals. • Develop sales scripts and outreach strategies aligned with different customer profiles. • Track KPIs including account activation, reorder behavior, and engagement trends. • Collaborate with marketing and field teams to support sample programs, promotions, and in-service education. Customer Support & Relationship Management • Deliver a high-touch, white-glove customer experience for physician practices and staff. • Draft and manage scalable service tools including FAQs, email/call scripts, and chatbot content. • Monitor inquiries via email, chat, and phone; escalate issues as needed with clear documentation and follow-up. • Own customer onboarding and education flows, improving them continuously based on feedback. Commercial Operations & Fulfillment • Coordinate and oversee day-to-day fulfillment operations, including hands-on logistics in early-stage phases. • Create and manage SOPs for order processing, returns, shipping, and product handling. • Serve as liaison between internal stakeholders (inventory, finance, marketing) and external fulfillment partners. • Support CRM, e-commerce, and support platform implementation and optimization (HubSpot, Shopify, chatbot, etc.). Process Development & Infrastructure • Develop scalable policies and processes across sales, fulfillment, and customer support. • Identify areas for automation and workflow optimization as the business grows. • Generate dashboards and reports that surface insights from customer and sales data. • Proactively identify and communicate risks, trends, or process gaps to the commercial leadership team. Qualifications • 3-5 years of experience in inside sales, commercial operations, or customer success roles. • Demonstrated experience contributing to a new product launch, ideally in a setting where the brand was not yet established in the market. • Familiarity with physician practices (e.g., dermatology, aesthetic medicine, plastic surgery) and ability to build lasting relationships with these audiences. • Experience drafting and implementing operational policies, sales playbooks, or customer service SOPs. • Strong written and verbal communication skills, including the ability to engage physician stakeholders and internal teams. • Proficiency with CRM platforms (e.g., HubSpot), Shopify or similar e-commerce tools, and Excel/Google Sheets. • A track record of increasing responsibility or internal advancement, reflecting strong initiative and growth potential. • Comfortable operating in a startup environment with evolving needs and limited structure. • High level of organization, attention to detail, and ability to operate with autonomy. Preferred Experience • Background in aesthetics, dermatology, cosmetic dentistry, ophthalmology, or medical device sales. • Experience segmenting customer types and tailoring messaging or support flows accordingly.
