Founded in Hong Kong in 2016 by the French couple Delphine Lefay and Diego Dultzin Lacoste, OnTheList is a leading premium flash sales concept in Asia and the Middle-East. OnTheList works to minimize the problem of excess stock by turning past-season inventory into sustainable opportunities. OnTheList works directly with retail brands and official distributors, turning old inventory into opportunity by providing a sustainable way for brands to sell past-season items that would have otherwise ended up in landfills, while providing the best deals and steep discounts to our OnTheList members. Since launching in Hong Kong in 2016, OnTheList has hosted over 5,200 flash sales and has built a community of over 1.3 million members across all regions. Operations Specialist– Omnichannel
You will primarily support the execution of the flash sales events, including stock selection & uploading, vendor management, sales reporting and stock movement coordination from/to our warehouses. You will also participate in offline events for floor space optimization and event operations support.
The Operations Specialist will support the full execution of flash sales events, with responsibilities split between on-site coordination and backend system support. Key duties include managing real-time sales performance, adjusting floor operations as needed, and coordinating stock movements to and from warehouses across the UAE and other regions, including customs handling. The role requires close collaboration with vendors and logistics partners to ensure smooth operational flow for both online and offline events. Strong organizational skills, system literacy, and the ability to work effectively in fast-paced environments are essential for success in this role. This role reports to General Manager.
WHAT WE WILL TRUST YOU WITH...
Operations support
• Independently plan and execute operational workflows for assigned flash sales events, including warehouse coordination, floor setup, live sales monitoring, and on-site customer service management.
• Coordinate with brand, vendors and logistics teams to ensure seamless pre-, during-, and post-event operational flow
• Manage data uploads/downloads, file formatting, and system updates to ensure accuracy across platforms, including handling operational files, packing lists, and essential product documentation
• Coordinate inbound and outbound stock transfers across UAE and regional warehouses, working closely with customs and third-party logistics to ensure timely, accurate, and compliant movements.
• Support product assortment preparation in Excel, ensuring alignment with brand guidelines and local customer needs, including formatting and image editing for presentation and uploads.
• Assist in pricing strategies and adjustments to maximize profitability and competitiveness
• Monitor and report on operational performance metrics to identify areas for improvement
• Act as the operational contact point for brand partners, logistics providers, customs agents, and customers on-site—ensuring timely updates, clear coordination, and real-time troubleshooting when needed.
WHAT IT TAKES
• 5+ years of experience in Retail Operations or Ecommerce Operations role.
• Proven experience in operations, logistics, or event execution—preferably in fashion, retail, or e-commerce sectors
• Strong system literacy (e.g. Shopify, logistics system) and ability to troubleshoot both software and basic hardware issues
• Strong attention to detail and numbers.
• Experience in a startup environment is preferred.
• Strong communication skills and inter-personal skills;
• Ability to work and operate independently and collaboratively in a fast-paced environment and solve problems in real time
• Proficient in MS Excel
• Professional communication skills in English (verbal and written), with confidence to liaise directly with external partners.
