Role description
Hours: 15-20 hours per week Location: Remote Pay: $2,500-$3,500/month (based on experience) Reports to: John Temple (CEO) and Olivia (COO) About Us: Founded by Dr. Ana-Maria Temple, a leader in holistic health and functional wellness, our mission is to help people heal from within. We offer science-backed supplements and skincare products designed to improve gut health, reduce inflammation, and restore immune function β€” specializing in holistic eczema solutions. We are scaling our e-commerce business rapidly and need a process-driven operations implementer who can own the systems, reporting, and team coordination that keep our e-commerce engine running smoothly. Role Overview: We’re seeking a hands-on E-Commerce Operations Manager who thrives on getting things done through smart oversight, structured systems, and clear delegation. This role will manage our Shopify assistant, oversee fulfillment workflows, and own operational reporting and dashboard creation to ensure we hit our 2025 growth and performance goals. You will not be responsible for manually executing every operational task. Instead, you’ll ensure the right people are doing the right things at the right time, while also directly implementing process improvements, dashboards, and project management systems yourself. Key Responsibilities: 1. Fulfillment & Inventory Oversight β€’ Manage and oversee the Shopify assistant responsible for: β€’ Monitoring inventory levels β€’ Coordinating with manufacturers and fulfillment centers on orders and issues β€’ Own the creation and maintenance of the fulfillment performance dashboard tracking: β€’ Fulfillment time, error rates, SLA compliance β€’ Review fulfillment data monthly, identify bottlenecks, and direct corrective actions to the Shopify assistant or vendors. β€’ Ensure fulfillment KPIs are consistently met (<2% error rate, 95% on-time shipping, 15% faster turnaround). 1. Shopify Store Operations Oversight β€’ Manage the Shopify assistant who updates product listings, stock levels, pricing, and shipping details. β€’ Oversee new product setups, updates, and discontinuations to ensure accuracy and timely execution. β€’ Create and maintain a SKU lifecycle audit spreadsheet (sales, reorder rates, reviews, margins) for leadership review. β€’ Identify underperforming SKUs and recommend actions such as bundling, discontinuation, or reformulation. 1. Dashboard Creation & KPI Tracking β€’ Build and manage operational dashboards for: β€’ Fulfillment performance β€’ SKU performance & profitability β€’ Subscription growth, churn, and LTV β€’ Membership program signups, engagement, and AOV uplift β€’ Deliver monthly KPI reports to leadership with trend analysis and actionable recommendations. 1. Subscription & Membership Program Execution β€’ Own the subscription reporting process using Shopify + Loop, tracking: β€’ Growth, churn rate, cohort retention, and LTV β€’ Work with the Shopify assistant and developer to implement subscription retention strategies (pause options, frequency adjustments, churn survey insights). β€’ Lead the membership program buildout, managing the implementation of tools (Bold, LoyaltyLion, Smile.io) and overseeing setup of automation, discounts, and point systems. β€’ Track program engagement and adjust for higher retention and AOV. 1. Launch & Promotion Coordination β€’ Create and manage operational timelines for product launches and promotions. β€’ Coordinate between manufacturing, fulfillment, creative, email/SMS teams, and website updates. β€’ Maintain readiness checklists ensuring all assets and systems are in place before launch. 1. Process Optimization & SOPs β€’ Identify and implement process improvements and tools to improve operational efficiency. β€’ Document workflows and create SOPs for fulfillment, product launches, and reporting processes. β€’ Continuously refine systems to scale operations effectively. What Success Looks Like β€’ Fulfillment KPIs consistently met or exceeded. β€’ SKU performance and profitability data delivered monthly, driving informed product decisions. β€’ Subscription churn reduced to <10% with steady 5–10% MoM subscriber growth. β€’ Membership program launched on time and generating measurable lifts in AOV and retention. β€’ Launches executed flawlessly across all operational touchpoints.
