Position Summary: The Senior Spare Parts Representative plays a pivotal role within the Aftermarket department, continuing to manage all responsibilities of the Spare Parts Representative while also acting as the direct support to the Spare Parts Manager and leadership. This role serves as the primary point of contact in the Manager’s absence and provides cross-functional backup for all brands within the department. The Senior Representative supports strategic initiatives including establishing customer account management plans, website & e-commerce implementation, on-going stocking program evaluation, pricing strategy input, and process improvement guidance. They serve as a technical resource for the team by creating drawing PDFs, setting up PD numbers, and generating work orders in the ERP system. This individual is a knowledgeable and proactive team leader who supports both day-to-day operations and long-term department goals. Expanded Responsibilities: β€’ Manager Support & Leadership: β€’ Support the Spare Parts Manager as needed and act as the main point of contact when the Spare Parts Manager is unavailable. β€’ Mentor and guide team members on procedures, processes, and customer service standards. β€’ Handle tasks on behalf of the Spare Parts Manager as assigned. β€’ Cross-Brand Backup: β€’ Serve as backup for all aftermarket brands during staff vacations or coverage needs. β€’ Maintain updated knowledge of all product lines to ensure seamless service continuity. β€’ Strategic Initiatives: β€’ Support the implementation and maintenance of web-based ordering and support platforms. β€’ Collaborate with Supply Chain and other Spare Parts team members to provide feedback for stocking strategies and pricing adjustments. β€’ Process Ownership & Technical Support: β€’ Provide guidance on Return Material Authorization (RMA) procedures to ensure efficient processing and customer satisfaction. β€’ Prepare part drawings and documentation for internal use and customer reference. β€’ Set up PD numbers and work orders in the ERP system (Infor Visual), assisting the team as needed. β€’ Existing Core Responsibilities (continued): β€’ Customer interaction, sales support, order processing, planning and coordination, customer service, and administrative duties as detailed in the base Spare Parts Representative role, which include but not limited to: β€’ Work with internal departments to ensure the customer’s needs are met β€’ Create parts, screw, barrel and rebuild quotes that result in profitable sales for the company β€’ Contact vendors to obtain cost and delivery information β€’ Follow up on quotes with the intent of converting to a sale β€’ Communicating with customers, understanding their needs, and ensuring a smooth sales process β€’ Responding promptly, accurately, and professionally to customer inquiries β€’ Review part and rebuild purchase orders for contractual requirements β€’ Process customer orders through the Visual ERP system β€’ Manage spare parts orders from PO entry through shipment of the items β€’ Resolve customer issues in a timely manner β€’ Build and maintain good relationships with customers β€’ Work in close coordination with our internal departments to increase efficiency and productivity β€’ Work with scheduling and purchasing to ensure parts and rebuild orders are on schedule β€’ Work with Spare Parts Manager to help develop and grow the spare parts business β€’ Maintain the shipping delivery report weekly to improve on-time deliveries of parts orders β€’ Creating recommended spare parts quotes for machines β€’ All other required to meet or exceed the goals and objectives of the company QUALIFICATIONS REQUIRED: Education: β€’ Two Year Degree in business or technical field, strongly preferred Experience: β€’ Minimum of 10 years working in spare parts sales for an equipment manufacturer β€’ Excellent and proven client-facing experience and customer service skills β€’ Exceptional communication and interpersonal skills, with proven ability to build and maintain customer relationships. β€’ Solid background and familiarity with planning and procurement activities, including supplier coordination and supply chain management. β€’ Strong working knowledge of Microsoft Office β€’ Strong working knowledge in big ERP packages, knowledge of Infor Visual is a plus Essential skills, behaviors: β€’ Proven experience in sales, customer service, or a related role in the manufacturing or industrial sector β€’ Strong problem-solving and organizational abilities. β€’ Ability to multitask and prioritize tasks in a fast-paced environment. β€’ Ability to learn and comprehend technical information including detail part drawings, bills of material, specifications and quality requirements β€’ Capable of high-volume email correspondence with ability to multi-task, prioritize, and triage accordingly β€’ Superior written and oral communication skills β€’ Strong time management and decision-making skills β€’ Ability to work independently β€’ Exceptional customer service skills β€’ A track record of ethical business behavior β€’ Commitment to Graham Engineering company values Dominant Physical Requirements: This position requires the incumbent to be extremely mobile to attend various meetings, assist customers and meet with individuals on the production floor.
